Find, reuse and close quotations
Find a quotation
Section titled “Find a quotation”The quotation register opens in the Active view. Use the view selector to show Won, Lost, Closed, Archived or All quotations instead. The workflow status filter and column sorting work alongside the selected view.
Search can match the QC quotation number, configured external reference, customer, site, linked customer PO, customer-facing line descriptions and asset labels. Internal notes, engineer recommendations, costs, margins and approval comments are not search targets.
Quote Control remembers your selected view, status and sorting in your browser. These preferences are tied to your signed-in user. The search text is not saved.
Record the commercial outcome
Section titled “Record the commercial outcome”An issued quotation remains Issued even after you record its commercial outcome. This keeps the controlled workflow status separate from what happened commercially.
From the quotation actions menu, the quotation owner or an administrator can mark an issued quotation:
- Won when the customer accepts the work.
- Lost when the work is not accepted.
- Closed when no further commercial action is expected.
Lost and closed quotations can include a short internal reason. Recording a customer order from a QC quotation marks that quotation won automatically.
Choose Reopen to clear the commercial outcome. Reopening does not make the issued revision editable and does not change its retained PDF.
Archive completed work
Section titled “Archive completed work”Only won, lost or closed quotations can be archived. Archiving removes the quotation from the Active view, dashboard counts and Timeline. It does not delete the quotation, revisions, PDFs, supporting documents, notes, approvals, orders or History.
Use the Archived view to find the quotation. Choose Restore quotation to return it to its outcome view.
Choose a revision or a duplicate
Section titled “Choose a revision or a duplicate”Use a revision when the customer wants the same quotation changed. Use a duplicate when an existing quotation is a useful starting point for separate work.

Creating a new revision resets a terminal outcome to open and restores an archived quotation. The earlier issued revision remains unchanged.
Duplicate a quotation
Section titled “Duplicate a quotation”Estimators and administrators can duplicate a quotation they are allowed to read:
- Open the source quotation.
- Open the quotation actions menu.
- Choose Duplicate quotation.
- Review what will be copied and reset.
- Choose Create duplicate.
The new draft copies the current customer, site, address, engineer recommendations, customer-facing scope, asset preparation, pricing and selected caveats. You can change all of those values before submission, including the customer, site and address. Editing the duplicate does not change the source quotation.
The duplicate deliberately starts without an external reference, validity period, outcome, archive state, approvals, supporting documents, internal notes, linked order, earlier revisions or previous audit history.
