Team administration

Content owner: Quote Control product. Last reviewed: 29 August 2026.

Use Administration → Team to manage known company users. Public registration is not available.

Role Use it when the person needs to
Estimator Prepare and manage owned quotations and owned order handovers
Checker Independently review eligible submissions and give template-permitted handover sign-offs
Administrator Manage company-wide work, users and Administration settings

Assign the narrowest role that matches the person’s responsibility. The server enforces role and workflow authority even when a user knows a protected URL. Read the complete role and visibility matrix before assigning access. In particular, Administrators cannot approve a revision they own or inspect another user’s private Project research, and a Checker does not receive general quotation editing or Administration access.

  1. Enter the person’s name, email address and role.
  2. Create the account.
  3. Copy the generated temporary password before closing the single-display dialog and transfer it through an approved private channel.
  4. The recipient signs in and replaces that password before using the workspace.

Use Reset access if a temporary password is lost or an active user needs a new credential. The operation revokes existing sessions and shows a new temporary password once. Administrators must use Change password for their own account.

An administrator can change a role, revoke active sessions, deactivate an account or reactivate it later. Deactivation immediately prevents authenticated access and revokes current sessions; it does not rewrite historical actions.

Quote Control prevents deactivation or demotion of the final active administrator. Create and verify another administrator first.

Before deactivating an estimator, preview their open quotations and active order handovers. Choose another active estimator and confirm the transfer. Quote Control updates the open records together and audits the affected record IDs.

Completed, issued and historical events retain their original actors. A transfer changes responsibility for work still in progress; it does not rewrite the record.

Password recovery email is optional. When it is not configured, account creation, first sign-in and administrator-led access reset continue to work normally.

Team changes take effect through the server and do not publish a policy or control version. Resetting access or deactivating an account revokes its current sessions. Historical actions continue to show the original actor.

Changing a role changes future authority; it does not rewrite earlier approval or audit events. Use Transfer work before deactivating an estimator when their open quotations or active handovers need a new owner.
