Order handover
Orders is an optional module. A company administrator defines and publishes the available handover checklists before enabling it.
Start from a QC quotation
Section titled “Start from a QC quotation”Search the issued quotations by QC number, configured external reference, site or customer. The newest QC numbers appear first. Choose the quotation, enter the customer PO and order-received date, choose the applicable handover checklist, then start the handover. The handover keeps the exact issued revision, even if the quotation later receives a new revision.
Bring an earlier quotation under control
Section titled “Bring an earlier quotation under control”Use Existing external quote for work raised before the company used Quote Control. Record the external quotation number, ex-VAT value, customer, site, PO and received date. This produces a standalone controlled handover without inventing a QC quotation history.
Complete the selected checklist
Section titled “Complete the selected checklist”The order pins the exact published checklist version selected at creation. Depending on the company’s configuration, it can contain confirmations, Yes/No decisions, short references and role-controlled or externally recorded sign-offs. Only active required controls block completion; optional controls can remain blank.
Yes/No decisions reveal follow-up controls only when they apply. Changing a controlling answer clears responses that become hidden and invalidates dependent sign-offs. Review the active checklist again after changing an earlier answer.
An administrator or the estimator who owns the handover can update controls and record a named external sign-off. A signed-in sign-off follows the roles selected in the published checklist. An estimator can sign only their own handover, while a checker can provide an allowed independent sign-off without editing the other controls. When the checklist requires independence, the same signed-in user cannot record both approvals.
These handover permissions are separate from quotation approval. See the role and visibility matrix for what each role can read and manage outside the selected checklist.
Later Administration changes do not rewrite an active or completed handover. The checklist name and version appear on the order and its downloadable PDF.
Prepare supplier buying information
Section titled “Prepare supplier buying information”A QC handover includes a read-only Purchasing summary before the purchasing checks. It groups the exact issued revision’s part lines by supplier and shows quantity, unit cost and internal total. Copy the summary or download its CSV to help raise supplier orders. It does not create, send or tick a purchase order. Inactive, missing and unassigned suppliers appear together as unavailable so they cannot be mistaken for a current purchasing destination.
An external retrospective handover has no controlled quotation-pricing snapshot, so the summary is unavailable and the checklist continues unchanged.
Pause without losing work
Section titled “Pause without losing work”Set an unfinished handover to Waiting and add an optional reason when information is outstanding. Its checklist stays saved and other handovers can continue. Resume it before editing controls or recording completion.
Once complete, the handover becomes read-only. Download the controlled checklist PDF when you need a portable record of the steps and sign-offs.
Administrators can read Handover checklists to publish a new version or change the company default.
